Our client is now recruiting for an Office Assistant
Responsibilities
1. Reception
  • Perform receptionist duties
  • Answer and redirect phone calls
  • Provide general support to visitors
  • Manage and distribute incoming & outgoing mail/correspondence (e-mail, letters, packages etc.)
2. Administration
  • Provide general administrative support to the Marketing Team & MEA Directors
  • Maintain the office condition and arrange necessary repairs
  • Resolve office-related malfunctions and respond to requests or issues
  • Make office supplies arrangements such as stationary, equipment, etc.
  • Monitor level of supplies and handle shortages by placing orders when necessary
  • Liaise with facility mgmt vendors such as cleaning, catering and security service
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Maintain a filing system for data on external partners & suppliers
  • Run errands
  • Accurately handle administrative duties
  • Coordinate with IT department on IT related equipment
  • HR administration
  • Create office templates and ensure updating (TBC)

  • Serve as the contact person for ‘general office duties’ including:
  • maintenance
  • mailing
  • supplies & equipment
  • errands & shopping
3. Assist Office Manager
  • Management support with focus on MEA HR Director & other MEA Directors
  • Meeting Management
  • Event Management
  • Travel management
  • General administration/support on departmental tasks
  • Regular update on tasks assigned & areas of concern
  • Implement & maintain office administrative systems/procedures
