Administrative Support Assistant Urgent Opening Vacancy in Dubai
The purpose of this role is to provide routine clerical and administrative support to managers and other staff to allow for more efficient operations.
Welcome visitors at the reception desk. Greet visitors, offer refreshments, wi-fi access, arrange transportation
Receives, transfers telephone calls when employee is not accessible
Operate a PC and standard software programs.
Manage access cards process and log including issuance of access cards to all employees and contractors including activation, reissue when damaged or lost, updating the records.
Issuance of gate pass to suppliers for delivery of goods in and out of JAFZA
Incoming and outgoing mail management.
Update employee noticeboards.
Send out notice to transport and catering about the advanced holidays, arranging for transportation in case of OT, change of shifts during Ramadan, sudden request for transportation if the employee is not well.
Make travel arrangements for visitors such as lodging, ground transportation and air travel
New employees. Submit request for visa, schedule visa medicals, get the employee to sign on the JAFZA contracts and submit other documents.
Booking of Employee's Annual ticket entitlements.
Scheduling, requesting measurements and placing order for uniforms
Stationary orders. Receiving request and ordering accordingly, updating the records
Applying online gate pass for company visitors including issuance of letter of requests to JAFZA Security.
Coordinate communications by receiving and passing along e-mails, notices, etc.
Maintain staff attendance records for vacation, sick days, personal time, etc.
Schedule meetings and maintain calendars.
Arrange customer/dealer/consultant visits including lodging, meals, scheduling meetings, etc.
Provide routine maintenance for equipment such as fax, copier, printer, etc. by adding toner, changing settings or calling for support, etc.
Provide other routine administrative duties as required.
Employee Exit Formalities for resigned employees such as arrange repatriation ticket to home country. Then collect the stamped cancellation paper after a day or two
Maintain records and prepare reports such as organizational charts, phone lists, records retention, budget information, etc.
Support office management HR team to ensure new starter equipment is procured and system access is requested.
Provide back-up duties for other administrative professionals as needed.
Procurement of indirect materials including issuing purchase orders, and supporting the supervisor with the procurement process.
Required Qualifications and Experience:
A college or university degree or equivalent experience.
Experience of coordinating complex international travel arrangements.
Good presentation skills, able to interact confidently with large groups of delegates
Strong communication skills both written and verbal.
Knowledge of software programs such as Microsoft Word, Excel and PowerPoint.
Strong administrative and time management skills applied with a high level of autonomy
Maturity to assess and handle situations.
