Administrative Assistant Student Affairs Department Jobs Vacancy in Abu Dhabi University Abu Dhabi Jobs Details:

Job Summary Reporting to the Director of Student Affairs the purpose of the role is to effectively manage the administrative and clerical support tasks-scheduling, filing, reporting, and other affairs of the Director of Student Affairs, along with added support for the staff within the Student Engagement and Development Office (SEDO). Responsibilities include:
  • Communicate messages from the Director and SEDO staff to all targeted recipients
  • Arrange and schedule meetings for the Director, and other student affairs staff, as necessary, both on and off campus
  • Operate as the main receptionist for the Office of Student Affairs by answering the telephone, and emails, and redirecting calls and messages appropriately
  • Facilitate room reservations, complete catering orders, and handle receipts and financials for programs and events
  • Handle confidential correspondence, files, and other documents and information
  • Maintain a neat, well-organized office including desk space, storage of club materials, and publications/posters
  • Provide administrative support, assistance, and backup coverage for all members of the student affairs staff, as needed
  • Maintain and update the workflow calendar and events calendar for all student affairs divisions
  • Record and produce minutes for departmental and management meetings, as needed
  • Photocopy, file, and distribute office material as needed
  • Arranging travel and accommodation for staff and students where applicable
  • Compile reports in accordance with departmental requirements
  • Review all incoming correspondence in all forms, electronic and others, before forwarding the same to the relevant personnel within the office
  • Proactively remind and support the staff with tasks and follow up for completion as scheduled
  • Communicate with students, suppliers, and subcontractors for logistical planning purposes office
  • You will be required to generate reports, as requested and required by the Director and SEDO staff
Required Skills You must have excellent communication, time management, organizational, and customer service skills. Also, you should be flexible and ability to work under pressure. Sound knowledge and experience in MS office is mandatory for this role.
